QR inventory management for rental businesses

Running a rental business — AV gear, tools, costumes, machinery — means constantly tracking what's out, who has it, and whether it came back in working order. Most businesses still do this with whiteboards or spreadsheets. TrackLabelQR replaces that with a QR label on each item.

The problem with manual tracking

How it works for rental businesses

Step 1. Register each piece of equipment in the dashboard. Name, category, serial number if you want. Under 30 seconds per item.

Step 2. Print the QR label sheet the system generates automatically and stick a label on each item. Compatible with standard Avery label sheets.

Step 3. When staff pick up equipment, they scan the QR with their phone, type their name, and mark it "In use". When they return it, they scan again and mark it "Available". No app, no account, no training needed.

Frequently asked questions

Do my staff need to download an app to scan QR codes?

No. They scan with the phone camera and land directly on the item page. No download, no account, no login.

Can I see who has a piece of equipment right now?

Yes. The dashboard shows the current status of every item: available, in use (with the name of who has it), under repair, or retired.

What happens if someone forgets to scan when returning equipment?

You'll see the item still marked as in use. You can update the status manually from the dashboard at any time.
